Description

We are a small Lanarkshire based Painting and Decorating Refurbishment and Maintenance Contractor looking to offer a Flexible part-time position working up to 16 hours per week to the right Candidate. Working Hours can be flexible to suit the right candidate. 

Job Role. 

Manage general office procedures to ensure processes and duties within the office flow efficiently. Maintain clear records and office expenses by managing invoices and ordering supplies based on the office budget. 

Experience Required

Prior office management experience preferred Proficiency in Microsoft Office; Good communication skills, Both Verbal and Written; Exceptional Organisation Skills: Professional Telephone Manner; Appropriate Mathematical skills: Ability to perform under Pressure: Excellent Customer Care Skills: Ability to Maintain Strict Confidentiality: Ability to Prioritize Effectively: Keen Attention to detail: Excellent Time Management Skills: Excellent and Accurate Data Entry Skills: Positive Attitude: Reliable and Dependable. Knowledge/Experience in the use of cloud-based accountancy software advantageous (Xero).

Main Duties

Reception Duties, Including answering incoming calls and scheduling appointments.

Follow up on phone calls and contacts as appropriate

Answer general emails and postal correspondence with customers and suppliers

Processes expenses and Invoices etc.

Creates budgets and orders office supplies

Files and Archives accurate records.

Contacts suppliers

Manages Office Subscriptions

Negotiates and Manages office insurance contracts etc.

Prepares weekly and monthly reports for the Director

Provides administrative support for the Director

Payroll Procedures and process customer orders.
